LAA - Supporting the UK’s recreational light aircraft community
The Light Aircraft Association supports people who build, own, maintain and fly light aircraft recreationally. As a specialist membership organisation, it provides practical services that help members keep their aircraft records up to date and continue flying safely.

For the Association, this is an essential process. For members, it is a key step in getting ready for the flying season. But the existing approach involved a significant amount of manual administration, creating pressure for staff, inspectors and members at the busiest time of year.
Managing increased work during the flying season
Permit revalidation is an essential service for members. It helps ensure aircraft information is checked, maintained and processed correctly, so members can continue operating their aircraft.
The existing process relied heavily on manual administration. Members downloaded and filled out a form, which had to be emailed or posted to headquarters, and the application was paid through the online shop or over the phone, then the back-office team manually checked the information provided against the data already held in CiviCRM.
CiviCRM held key details about each aircraft, including maintenance history, flight time, repairs and other records needed to support the revalidation process.
Because recreational aviation is seasonal, demand increased sharply at the start of the flying season. This created backlogs, added pressure for the Association’s team and caused frustration for members and inspectors waiting for the process to move forward.

A new digital process with online forms and joined up data
Circle Interactive worked with the Light Aircraft Association to replace the paper-based process with a sophisticated multi-step online form connected to CiviCRM.
The new form uses the aircraft data already held in CiviCRM to guide the process. This allows information to be checked and validated in real time, reducing the need for manual comparison and helping members provide the right details from the start.
The system also supports automatic allocation to inspectors and the back-office team, helping each application move to the right person at the right stage.
Instead of relying on a form, a shop purchase and manual checks, the Association now has a more connected workflow. Members can begin the process online, inspectors can be notified when their input is needed, and the back-office team can manage applications with clearer information and fewer manual steps.
What once could take weeks can now be completed in a matter of hours
The result is a faster, more reliable and more efficient permit revalidation process.
For members, this means a smoother experience at an important point in the flying year. For inspectors, it means clearer communication and a more structured process. For the Association’s staff, it means less repetitive administration, fewer bottlenecks and more time to focus on supporting members.
